Short answer: the cost of an AI automation depends mostly on three things: how many tools it connects, how messy the input is, and how reliable it has to be. A single workflow connecting two tools with one AI step is a small project. Connected workflows across a department are a mid-sized project. A multi-process program with custom code and monitoring is a large one. On top of the build, expect modest monthly running costs for AI usage and any automation platform.

Each system the workflow reads from or writes to needs authentication, field mapping, error handling and testing. Going from two tools to five is often the biggest single cost driver.
How messy the input is
Clean form data is cheap to process. Scanned documents, free-text emails and inconsistent spreadsheets need more AI work, more validation rules and more testing.
Human-in-the-loop steps
An approval queue adds interface and notification work, but usually reduces risk enough to be worth it.
No-code vs custom code
Platforms like n8n or Make are faster to build on and easier to hand over. Custom code costs more up front but can be cheaper to run at high volume and handles unusual logic better. A good provider will tell you which suits your case.

- Automation platform. If the workflow runs on a hosted platform, expect a subscription based on runs or tasks. Self-hosting reduces this but adds hosting and upkeep.
- Other SaaS seats or API tiers. Some tools require a higher plan for API access. Check this early.
